ENVIRONMENTAL SUSTAINABILITY POLICY

We are working to make our productions more environmentally sustainable. Through this policy, we want to test different methods of working (from the pitching process to the finished film) to help reduce our impact on the climate.It’s a work-in-progress document that will be updated as we find new and more effective solutions for the challenges that film productions face. We welcome your feedback and suggestions on how we can be more environmentally friendly!

FROM PITCH TO POST-PRODUCTION

PITCH

  • TREATMENT/START-UP MEETING

Inform the agency/client/crew that we’re working towards more sustainable productions and work to propose climate-smart solutions
as a response to the different challenges the production will face (i.e. cast, locations).
Include a variation of the following (appropriate to your production) in your treatment:
‘We’re working towards more sustainable productions to reduce our impact on the climate. At the moment we’re testing different
methods of working from the pitching process to the finished film to help reduce our impact on the climate. In this production, we’re
going to implement: environmentally friendly food, working with local team/cast, removing single-use plastic material, recycling on

PRE-PRODUCTION

 

  • TRAVEL/COURIER

When planning travel (meetings/scouts), opt for more sustainable transport alternatives. i.e. train, bicycle, carpooling. When booking a
taxi/courier, ask for an electric car/bicycle.

  • CRAFT/CATERING

If craft will be ordered by a PA, give them a shopping list of approved craft (see our ‘Recommendations’ for more information). If
you’re working with a crafty, inform them that they need to buy in ecological options and vegan/vegetarian snacks.
Order vegan/vegetarian catering, both in meetings and for the shoot.
Use water drums and inform the team that they need to bring their own water bottle with them, which they’ll be able to fill up on set.

  • COSTUME/PROPS/PRODUCTION DESIGN

Discuss with each department the possibilities for using recycled materials and donating them after the production. See
‘Recommendations’ for suggestions on where you can rent and make donations.

  • PRINTING

We are working towards a zero-print policy, but in this transitional phase our aim is simply to minimise the number of printouts on set.
In your start-up mail, find out who wants paperwork printed and only print copies for the people who have requested them.

  • ELECTRICITY

Always turn off lights and other electronics when leaving the office.

  • Rubbish/Recycling

Order rubbish bins to be delivered and collected from set. For suppliers of this service, see ‘Recommendations’.

  • EQUIPMENT/HARD DRIVES

We are researching more sustainable alternatives in our approach to technology. For example, re-using back-up hard drives to reduce
our consumption of throw-away technology. More information to come soon!

Below are 4 simple things that you can do during the production to help us make more sustainable choices:

  • RUBBISH DISPOSAL

We will have recycling bins on set, please sort and recycle your waste.

  • CRAFT/CATERING

We’ll only be eating ‘green’ (vegan/vegetarian catering).
Bring your own water bottle with you, and we’ll make sure that there’s water available on set.

  • PRINTING

Contact us if you need the storyboard/shooting schedule/call sheet printed out. We will only print upon request.

  • TRANSPORT

See if carpooling or public transport is an option for you. If you fill up a car with diesel, try to use HVO diesel, which is made from renewable resources. Ask us if you need more information!

SHOOT

  • BRIEF

During the brief, be sure to mention the sustainability policy and remind everyone about the rubbish disposal/recycling on set.

  • ELECTRICITY/EQUIPMENT

Remind everyone to switch off any generator/heating/lighting that isn’t needed.

  • RUBBISH/RECYCLING

Ensure that no rubbish is left behind (especially in nature!)
Make sure that the rubbish bins are clearly visible, well labeled and that they are collected at the end of the day.

  • CLEANING

Ask any cleaning companies you collaborate with to use environmentally friendly cleaning products.

  • TRAVEL/COURIER

See ‘Recommendations’ for contact information to environmentally friendly taxi and courier companies.

If it’s possible to order it ahead of time, use matsmart.se. They are a company that stocks items in bulk that are nearing their use-by
date and otherwise would have been thrown away.

Most catering companies have vegetarian and vegan alternatives. When ordering, remind them that the food needs to be filling,
especially when it’s cold outside. Ask them what kind of single-use cutlery etc. they have and see if it’s possible to have reusable
cutlery, instead of single-use.

Stockholms Stadsmission accepts donations. They can also arrange for pick-ups if there is a large quantity of items that are going to
be donated. Depending on your schedule and storage possibilities, this should be coordinated before the shoot.

  • RUBBISH/RECYCLING

Office Recycling delivers and collects bins from set.
They are able to recycle the following: Plastic, Cardboard/Paper and Combustible Goods
The cannot recycle: Food waste or ‘pant’.

1 bin from Office Recycling is 190L. For a 2 day shoot with a crew of ca. 30 people, 1 bin for each kind of rubbish was enough.
It cost ca. 1 600SEK for the 3 bins including pick-up and drop-off.

HOW DO WE COLLECT YOUR PERSONAL DATA?
Collection and processing of personal data may take place when you register for our newsletter or when you notify us of your interest to participate in projects we are operating. Your personal data may be kept as a part of our internal contact details as a business contact or we may have collected your personal data in activities related to our business intelligence. 

WHAT TYPES OF PERSONAL DATA DO WE COLLECT?
Camp David collects the personal data required for us to conduct our business in a serious manner as well the personal data required for us to fulfil our commitments in relation to the people, companies and organisations we have agreements with. For example, we process personal data for the authors, e.g. actors, photographers, musicians and directors who work on the commercials that we produce.

HOW DO WE HANDLE PERSONAL IDENTIFICATION NUMBERS?
We normally do not collect personal identification numbers. Should we however collect your personal identification number we will only process it if is clearly motivated with respect to the purpose and necessary for safe identification or if there is another noteworthy reason. We minimize the use of your personal identification number as far as possible. When possible we will use your year- and day of birth instead.

PURPOSE & TYPE OF DATA LAWFUL GROUND FOR PROCESSING
In order to send newsletter and invitations to seminars and events to the people who have expressed an interest for this.

Type of data: Name, contact details, e.g. e-mail address and phone number.

The processing is necessary in order for us to meet our legitimate interest of sending information about our business as well as our parties and events. The processing is also necessary for us to fulfil our contractual obligations in relation to the members.
Pictures from events for the purpose of documenting the business as well as to be used in marketing but also in editorial contexts.

Type of data: Pictures, name and title

The processing is necessary in order for us to meet our legitimate interest of documenting the business and inform about our events.

 

Our duty to fulfill legal obligations according to legal requirements, judgment by court or decision by authority, e.g. the Accounting Act.

Type of data: Name, personal identification number, e-mail address, phone number, user name, billing address, information about payment of members’ fee.

The processing is necessary to fulfill our contract with you.

The processing is based on you giving your consent to us communicating with you regarding the current hiring process. The processing of any references and previous colleagues is based on a balancing of the interests of the data subject and the controller.

FURTHER INFORMATION REGARDING YOUR RIGHT TO RECTIFICATION, ERASURE ETC.
You have the right to be provided with information regarding what of your personal data we are processing and how we are processing it. You also have the right to obtain rectification in regards to personal data we are processing about you. You also have the right to obtain the erasure of personal data (“the right to be forgotten”). This means that you may demand the erasure of your personal data if it is no longer necessary in relation to the purpose for which it was collected. Keep in mind that there may be legal obligations which prevent an erasure, e.g. legal requirements in tax- or accounting legislation.

Should you wish to lodge a complaint with a supervisory authority or want other information concerning your rights in relation to personal data processed by us please contact the National Data Protection Authority (in Sweden ”Datainspektionen”). HOW LONG DO WE KEEP YOUR PERSONAL DATA?
We only keep your personal data for as long as it is necessary for us to fulfil our contractual obligations with you and for as long as it is required by law. When we keep your personal data for other purposes than our contractual obligations, e.g. for the fulfilment of accounting requirements and other regulatory capital requirements, we only keep your personal data for as long as it’s necessary and/or a legal requirement for each purpose. 

WHERE DO WE PROCESS YOUR PERSONAL DATA?
As a starting point we process your personal data within the EU. Should we use a service provider who transfers your personal data to countries outside of the EU and the EEA we will take measures to protect your personal data in accordance with applicable legal requirements, e.g. by demanding guarantees that the provider protects the data in accordance with current data protection laws.
